Terms of service
Last updated: September 4, 2026. These terms govern your use of the PolishBook website and of the PolishBook subscription service operated by MLJ, SASU.
1. Acceptance
By creating a PolishBook account, by subscribing to a paid plan, or by using this website, you agree to these terms. If you are agreeing on behalf of a salon, a group or another business, you confirm that you are authorized to bind that business. If you do not accept these terms, do not use the service. These terms, together with the privacy policy and the legal notice, form the whole agreement between us.
2. The service
PolishBook is a web based record keeping tool for nail studios and independent nail technicians. It stores a service and color history for each of your clients, including the shades, bases, top coats, builders and structure notes used at each visit, records wear time feedback on completed sets, tracks product usage against your stock, and schedules rebooking reminders calculated from each client's own history. Access is provided through a browser on the plan you have subscribed to. We may add, change or retire individual features to improve the product, and where a change materially reduces the functionality you pay for, we will tell you by email at least 30 days beforehand.
3. Accounts and eligibility
You must be at least 18 years old and operating a lawful business to hold an account. You are responsible for the accuracy of the registration details you give us, for keeping your login credentials confidential, and for everything done through your account. Each technician who uses the service should have her own named login. Tell us promptly at jimenezjulien42@gmail.com if you believe an account has been accessed by someone who should not have it, and we will help you lock it down.
4. Acceptable use
You agree not to use PolishBook to store information you have no right to hold, to send unsolicited commercial messages to people who have not agreed to hear from your studio, to attempt to access another customer's data, to probe or overload the service, to reverse engineer it, or to resell access to it without a written agreement with us. Rebooking reminders must only be sent to clients who have agreed to receive messages from your business, and you are responsible for complying with the marketing and messaging rules that apply in your state.
5. Subscriptions, prices and billing
PolishBook is sold on three monthly plans in United States dollars: Booth Renter at $19 per month for a single technician, Salon at $49 per month for up to eight chairs, and Salon Group at $99 per month for up to five locations. Every plan is billed monthly in advance on the date you subscribed, and prices are shown excluding any sales tax that may apply. There is no setup fee and no minimum contract term. If your studio grows past the limits of your plan, we tell you in writing before any change to your invoice takes effect. We may adjust list prices, but an existing subscription keeps its price for at least 12 months after any published change, and never changes retroactively.
6. Cancellation and refunds
You may cancel at any time from your account settings. The cancellation takes effect at the end of the billing month you have already paid for, and you keep full access until then. We do not prorate partial months. If we fail to deliver the service for a prolonged period through our own fault, contact us and we will credit the affected time. We may suspend or close an account for non payment after two written reminders, or immediately for a serious breach of section 4.
7. Your data
Client records, service histories, shade libraries, photographs and notes that you create in PolishBook remain yours. We process them only to provide the service to you, and we never sell, rent or share them. You can export your full data to a spreadsheet at any time while the account is active. Where a booth renter holds her own account, the records she creates belong to her and travel with her if she changes salons. After cancellation we keep your data available for 60 days so you can reactivate or export, then delete it. You are the controller of your clients' personal information and are responsible for having a lawful basis to hold it.
8. Availability
We aim for 99.9 percent monthly availability outside announced maintenance, and we schedule maintenance outside United States business hours whenever we can. The service is provided over the public internet and we cannot guarantee uninterrupted access. We keep encrypted daily backups and can restore an account from the previous 30 days.
9. Warranty disclaimer
Except as expressly stated in these terms, the service is provided as is and as available, without warranty of any kind, whether express or implied, including any implied warranty of merchantability, fitness for a particular purpose or non infringement. PolishBook is a record keeping tool. It does not give product safety, allergy, health or regulatory advice, and clinical or safety judgment about a client's nails remains yours as a licensed professional.
10. Limitation of liability
To the fullest extent permitted by law, MLJ, SASU is not liable for indirect or consequential loss, including lost profits, lost bookings, lost goodwill or the cost of substitute services. Our total liability for any claim relating to the service is limited to the amount you paid for the subscription in the twelve months preceding the event that gave rise to the claim. Nothing here limits liability for fraud, for gross negligence or for anything that cannot be limited under applicable law.
11. Indemnity
You agree to indemnify MLJ, SASU against third party claims, damages and reasonable costs arising from your use of the service in breach of these terms, from content you store in the service, or from messages you send to your clients through it.
12. Changes to these terms
We may update these terms as the product and the law change. The version published on this page is the one in force, and the date at the top shows when it last changed. For material changes we notify active customers by email at least 30 days before they take effect, and continuing to use the service after that date means you accept the new version.
13. Governing law and contact
These terms are governed by French law, and any dispute that cannot be resolved amicably falls within the exclusive jurisdiction of the competent courts of Paris, France. This does not remove any mandatory protection available to you under the law of your state of residence.
